Examination Sector
This sector is subordinated to the Graduate Degree General Coordination. This sector offers the registration of master’s and doctorate boards, registration of the committee member boards (dissertations and thesis) and other official forms.

Graduate Degree Student Services
This sector is subordinated to the Graduate Degree General Coordination. This sector offers support to master’s and doctorate students, dealing with re-opening suspended applications, cancellation of enrollment, cancellation of subjects, change of subjects and processing of scholarships (sandwich internship and master and doctoral scholarships).

- For qualifying boards: The student can only submit the qualification after having passed the foreign language proficiency examination and completed all subject credits;
- Master’s students must have completed the qualification examination at least 4 (four) months before the deadline established for the dissertation, and doctoral student’s at least 12 (twelve) months before the deadline for depositing the thesis.
- It is required for master's and doctoral students to perform supplementary activities (APO) before the thesis or dissertation defense.
- Defenses of thesis or dissertation take place throughout the year, except during vacation periods and academic recess, in line with the university calendar.
- Between the date of the submission and the public defense there must be a minimum interval of 30 days and a maximum of 60 days.
- If the maximum delivery date falls on a holiday, Saturday or Sunday, the date will be extended to the next business day.
- The defense must take place between 8:30 and 5pm. The supervisors must carry out the scheduling so that the end of the defense does not exceed this limit.
INITIATING THE PROCESS
It is the student's responsibility to stay informed about their filing deadlines and the aforementioned requirements.
1st STAGE: Verification of academic situation
The administrative assistant will verify the academic situation of the student and schedule a return date within a maximum of 7 days to collect two documents: The Board Form signed by the Graduate Program Coordinator and the document checklist (termo de conferência de documentos) authorizing submission of material for the defense board.
REQUIREMENTS
To make the submission, the student must have completed the following requirements:
QUALIFYING BOARD
- Passed the language proficiency test
- Gained required subject credits
DISSERTATION OR THESIS
- Passed the proficiency test
- Gained required subject credits;
- Supplementary Activity (APO).
2nd STAGE: Collection of Board Form and other documents
a) Guidance and evaluation protocol (for dissertation or thesis).
b) Three copies in the case of the qualification or dissertation, and five copies if a thesis.
c) For the dissertation and thesis: A separate Approval Sheet (see models for Master e Doctorate courses) containing the names of members of the board for collection of signatures on the day of the defense.
The program administrative assistant will separate the material appropriately, according to internal guidelines and will give the student a sealed envelope to be given to the Graduate Student Service for submission.
3rd STAGE: Deposit of documents for qualifying exam or defense
Students should contact the Graduate Degree Student Services, located in the João Calvino Building, ground floor.
Deliver the envelope sealed by the program administrative assistant.
Collect and keep the deposit receipt.
4th STAGE: FINAL VERSION
Deadlines and procedures
Delivery Time: 30 calendar days from the date of the defense.
Copy: A copy in 21x 29.7cm (A4) format, in a red, hard cover with gold lettering, containing:
Catalog card, prepared by the Central Library, on the back of the title page.
Original Approval Sheet (see models for Master's e Doctorate) with the signatures of the members of the board, collected on the day of the defense. Copies without the original Approval Sheet will not be accepted.
The student must deliver:
A) To the Graduate Program Service:
- Um CD (arquivo único em PDF), com o trabalho completo e contendo a ficha catalográfica após a folha de rosto e folha de aprovação assinada;
- Consent form for Electronic Publication in the UPM Central Library (click here);
- CAPES Data Form (FDC), signed by the supervisor (using the specific form for the course as below):

- Delivery Protocol – 1 (one) completed printed copy;
- A bound hard copy with red cover and gold lettering, containing the catalog card.
- Review label (Etiqueta Termo de Revisao) signed by the advisor and the graduate program coordinator;
- Authorization label completed at Graduate Student Service on delivery.
